Understanding Per Seat Pricing

In this article, we'll explain how our per seat pricing works, helping you to understand how your subscription costs are calculated based on the number of users (seats) you have on your account.

What is Per Seat Pricing?

Per seat pricing is a subscription billing model where you pay a fee for each user (seat) that has access to TrustReq. This model ensures that you are only charged for the number of users actively using the service, making it a scalable and cost-effective solution for firms of all sizes. To avoid paying unnecessary fees, make sure you don't purchase more seats than you need at any given time.

How Per Seat Pricing Works

  1. Base Subscription Fee: When you subscribe to TrustReq, you start with the primary account owner's subscription fee which includes one user seat. This fee gives your firm access to all the features and tools that TrustReq offers.

  2. Additional Seats: As your firm grows and you need more users to access TrustReq, you can add additional seats. Even sole practitioners with no staff might wish to add an independent bookkeeper (or a helpful spouse) to their TrustReq team. Each additional seat incurs an extra charge that is added to your monthly subscription fee. Note that the price for each seat is the same, whether it’s the first seat or additional seats.

  3. Billing Cycle: TrustReq bills you monthly based on the number of seats active in your account. This means if you add or remove seats during a billing cycle, the changes will be reflected in the next month’s invoice.

  4. Proration: If you add or remove seats partway through a billing cycle, TrustReq will prorate the charges. This ensures that you only pay for the time each seat was active during that billing cycle.

  5. User Management: You can easily manage your seats through the TrustReq dashboard. Here, you can add new users, assign roles, and remove users as needed. Any changes made will automatically adjust your subscription fee accordingly.

Remember the difference between a "seat" and a "user". When you purchase an additional seat, it frees up room for a new person (user) to be added to your team. If that user is removed from the team, the seat will remain open for another user, and you will continue to pay for that seat. If your goal is to reduce your total fees and not replace that user, then you would need to remove the seat entirely.

Example Scenario

Let’s say your firm subscribes to TrustReq with the following pricing structure (note: these are example numbers only, and the current prices are subject to change):

  • Subscription Fee per Seat: $149 + HST CAD/month

Month 1:

  • You subscribe with the base subscription, which includes one seat: $149 + HST

Month 2:

  • You add two additional seats:

    • Base fee: $149 + HST

    • Additional seats: 2 x $149 + HST = $298 + HST

    • Total: $149 + $298 = $447 + HST

Month 3:

  • You remove one seat halfway through the month. Prorated cost for the removed seat is calculated based on the time it was active:

    • Base fee: $149 + HST

    • One additional seat for the full month: $149 + HST

    • Prorated cost for the removed seat: $74.50 + HST (assuming it was active for half the month)

    • Total: $149 + $149 + $74.50 = $372.50 + HST

Managing Your Subscription

TrustReq partners with Stripe to manage your subscriptions, payments, billing, invoicing, and more. You can access a self-serve portal powered by Stripe through your TrustReq dashboard to manage these aspects easily.

To manage your seats and view your billing details:

  1. Log in to TrustReq: Access your account at TrustReq Login.

  2. Navigate to User Management: Go to the ‘Settings’ or ‘Admin’ section and select ‘User Management’.

  3. Add or Remove Seats: Here, you can add new users by inviting them via email or remove existing users. Changes take effect immediately and will be reflected in the next billing cycle.

  4. View Invoices: Go to the ‘Billing’ section and use the self-serve portal powered by Stripe to view your current and past invoices.

Q: What happens if I add a seat mid-month? A: The cost for the new seat will be prorated based on the number of days it was active during the billing cycle.

Q: Can I downgrade my plan or reduce seats at any time? A: Yes, you can add or remove seats at any time. Downgrades and seat reductions will take effect immediately, with prorated adjustments applied to your next invoice.

Q: How do I see the cost breakdown for each seat? A: Detailed billing information, including the cost breakdown for each seat, can be found in the ‘Billing’ section of your TrustReq dashboard.
